Starting September 30th, all supplier invoices submitted to city.payables@baltimorecity.gov will no longer be processed by Accounts Payable. Suppliers will be required to register and submit invoices directly through Workday, as this will be the sole method for payment moving forward.

Getting Started As A Supplier

To bid with the Bureau of Procurement (BOP), you must register as a supplier in the Workday system. You can still view bidding opportunities without a Workday account.  

The Supplier Self-Service Portal 

In the portal, you are able to: 

  • View and create invoices from purchase orders 
  • Access payment and remittance advice information 
  • Maintain master data such as contact info, addresses, and bank accounts 
  • Respond to requests for quotes (RFQ) 
  • Check payment status 

Your supplier information is protected and cannot be viewed by other suppliers.  

Any supplier contact (registered under an active supplier account) with a username and password will have access to the Supplier Self-Service portal.   

An active supplier is anyone who: 

  • Was issued a Purchase Order (PO) and/or Expenditure Authorization (EA) by the City of Baltimore after June 14, 2020 
  • Billed an invoice after June 14, 2020 
  • Received payment from the City of Baltimore after June 14, 2020 

Remember: As the Primary User, you can add additional users to your company/organization.  

 

I am a prospective supplier. How do I get access to Workday? Which forms are needed for the Prospective Supplier Registration? 

Prospective Suppliers must submit: 

  • Taxpayer Identification Number (TIN), 
  • Contact Information 
  • Business Information 
  • Current signed and dated W-9 form  

This information must be electronically attached to your registration.
